Getting the AI Agent to Join Calls

There are multiple ways to get the AI meeting assistant to join your video calls.

Method 1: Automatic Join (Calendar Integration)

If you’ve connected your calendar, the agent can automatically join scheduled meetings.

Requirements

  • Calendar integration must be enabled
  • Auto-join settings must be configured
  • Meeting must contain a valid meeting link

How It Works

  1. The AI scans your connected calendar
  2. Detects upcoming meetings with video call links
  3. Joins automatically at the scheduled time (or a few minutes before)
  4. Announces its presence when joining
Configure auto-join preferences in Settings → Calendar Integration → Auto-Join Rules

Method 2: Manual Invitation

You can manually invite the AI agent to any meeting.

Adding via Email

Most meeting platforms allow you to add participants by email:
  1. Create or edit your meeting
  2. Add the AI agent’s email as a participant:
    meeting-bot@yourdomain.ai
    
  3. Send the meeting invitation
  4. The agent will automatically join at the scheduled time
For ad-hoc or instant meetings:
  1. Copy your meeting link
  2. Go to your dashboard
  3. Click “Add Agent to Meeting”
  4. Paste the meeting link
  5. Click “Join Now” or “Schedule Join”

Method 3: Quick Join Button

For instant meetings without calendar integration:

Desktop App

  1. Start or join your video call
  2. Open the AI assistant dashboard or extension
  3. Click “Join Current Meeting”
  4. The agent will join within seconds

Browser Extension

  1. Install our browser extension
  2. Join a video call in your browser
  3. Click the extension icon
  4. Select “Add AI Agent to This Call”

Method 4: Slack/Teams Command

If you use Slack or Microsoft Teams:

Platform-Specific Instructions

Option 1: Add bot email as a participant when schedulingOption 2: Use the Zoom bot command in-meeting:
  • Open chat during the meeting
  • Invite the AI bot using its Zoom contact

Verification

Once the agent joins, you’ll see:
  • ✅ A notification that the AI agent has joined
  • ✅ The agent listed as a participant
  • ✅ A visual indicator showing it’s recording/transcribing
  • ✅ Real-time status in your dashboard

Troubleshooting

If the agent fails to join, check these common issues:
  • Meeting link is valid and not expired
  • Meeting hasn’t started yet (agent joins 1-2 minutes after start)
  • Your organization’s security settings allow bot participants
  • You have sufficient meeting credits in your subscription
