What Happens After Your Meeting

Learn about the automated actions and notifications that occur when your meeting concludes.

Automatic Post-Meeting Process

When your meeting ends, the AI agent automatically:
  1. Processes Recording - Converts raw recording to viewable format
  2. Generates Transcript - Creates accurate text transcript with speaker labels
  3. Creates Summary - Produces meeting summary with key points and action items
  4. Sends Notifications - Distributes summaries based on your settings
Processing time varies based on meeting length. Most meetings are processed within 5-15 minutes.

Email Notifications

Default Behavior

By default, the AI agent sends email notifications to:
  • ✅ Meeting organizer
  • ✅ All meeting participants (if enabled)
  • ✅ Specified distribution list
  • ✅ Workspace members (optional)

What’s Included in the Email

Standard Summary Email Contains:
  • Meeting title and date
  • Duration and participants
  • Key discussion points
  • Action items with assignees
  • Decisions made
  • Links to full transcript and recording
  • Next steps

Choosing Not to Send Emails

You can configure meetings without email notifications:

For Individual Meetings

When scheduling:
  1. Expand Advanced Options
  2. Under Post-Meeting Actions
  3. Uncheck “Send email summary”
  4. Save meeting

For All Meetings (Default Setting)

  1. Settings → Notifications
  2. Post-Meeting Emails section
  3. Set “Send summary emails” to OFF
  4. Save changes
Even with emails disabled, summaries are still available in your dashboard.

Alternative to Email Notifications

Dashboard Access

All meeting information is always available in your dashboard:
  1. Navigate to “Past Meetings”
  2. Click on any meeting
  3. Access:
    • Full transcript
    • Recording playback
    • Summary and insights
    • Action items
    • Shared files

Integration Notifications

Instead of email, send notifications through:

Slack

Post summaries to Slack channels

Microsoft Teams

Send summaries to Teams channels

Asana

Create tasks from action items

Notion

Save summaries to Notion pages
Configure in Settings → Integrations → Post-Meeting Actions

Customizing Email Behavior

Who Receives Emails

Fine-tune email recipients:
  1. Settings → Notifications → Email Recipients
  2. Configure options:
    • ☐ Meeting organizer only
    • ☐ All participants
    • ☐ Participants who attended
    • ☐ Specific email addresses
    • ☐ Workspace members
    • ☐ Custom distribution list

Email Timing

Control when emails are sent:
Delivery Options:
  - Immediate: Right after processing (default)
  - Delayed: 30 minutes after meeting
  - Scheduled: Specific time daily (e.g., 5 PM)
  - Digest: Daily summary of all meetings

Email Templates

Customize email content:
  1. Settings → Templates → Email Templates
  2. Choose or create template:
    • Executive Summary
    • Detailed Breakdown
    • Action Items Only
    • Custom Template
  3. Customize content:
    • Include/exclude sections
    • Adjust formatting
    • Add branding
  4. Save template

Notification Preferences

Per-Meeting Basis

Override default settings for specific meetings: When scheduling a meeting:
  1. Advanced Options → Notifications
  2. Select notification preference:
    • Use default settings
    • Send emails to all
    • Send to organizer only
    • Don’t send emails
    • Custom recipients

Global Preferences

Set default behavior for all meetings:
  1. Settings → Notifications
  2. Configure:
    • Email notifications: ON/OFF
    • Default recipients
    • Email template
    • Delivery timing
    • Digest preferences

What Gets Generated

Always Created

Regardless of email settings, every meeting generates:
  • 📝 Full Transcript - Complete verbatim text
  • 🎥 Recording - Video/audio recording (if enabled)
  • 📊 Summary - AI-generated meeting summary
  • Action Items - Extracted tasks and owners
  • 🔑 Key Points - Important discussion topics
  • 📈 Analytics - Meeting insights and metrics

Optional Generation

Based on your settings:
  • 📄 PDF Report - Formatted downloadable report
  • 📧 Email Distribution - Sent to participants
  • 💬 Chat Integration - Posted to Slack/Teams
  • 📋 Task Creation - Auto-created in project tools
  • 📁 File Storage - Archived to cloud storage

Data Retention

Storage Duration

Default retention periods:
  • Recordings: 90 days
  • Transcripts: 1 year
  • Summaries: Indefinite
  • Action Items: Until completed or manually deleted

Accessing Historical Data

Find past meetings:
  1. Dashboard → Past Meetings
  2. Use filters:
    • Date range
    • Participants
    • Keywords
    • Status
  3. Search by meeting title or topic
  4. Click to view full details

Privacy Controls

Limiting Email Distribution

For sensitive meetings:
  1. When scheduling, mark as “Confidential”
  2. Emails sent only to organizer
  3. Other participants see notification without content
  4. Full access requires dashboard login

Restricting Access

Control who can view meeting data:
  1. Meeting → Settings (gear icon)
  2. Access Control:
    • Participants only
    • Workspace members
    • Specific individuals
    • Public link (with password)
  3. Save access settings

Troubleshooting

Check these:
  • Spam/junk folder
  • Email address is correct in your profile
  • Email notifications are enabled
  • Meeting has finished processing
  • Subscription is active
Find summary: Always available in dashboard under Past Meetings
Review:
  • Meeting notification settings
  • Default recipient settings
  • Calendar invitation participants
Resend: Use “Resend Summary” option in dashboard
Possible reasons:
  • Meeting ended abruptly
  • Recording failed mid-meeting
  • Processing error occurred
Solutions:
  • Check dashboard for partial data
  • Re-process meeting if option available
  • Contact support with meeting ID
Quick fix:
  1. Click “Unsubscribe” at bottom of email
  2. Or: Settings → Notifications → Turn off email summaries
You’ll still get dashboard notifications
